Google's review policy, checked October 19, 2026, prohibits incentives and selectively requesting positive reviews. A med spa's software needs to support neutral, optional requests before its dashboards matter. Choose around your clinic's appointment workflow, then test whether the group can approve replies and export its complete review history.
I would choose around the work your clinic team will actually own. A single clinic that needs consistent follow-up has a different buying problem from a group that needs branch permissions, reply approvals and an export for its regional managers. Put those jobs in the demo request before anyone builds the slide deck.

Start with your appointment system
For a single med spa, first check the review-request capability in the system that already handles appointments. Have the vendor show which event starts a request, who can stop it and how a canceled appointment is excluded. Ask for a demonstration using a test contact. A feature name on a pricing page tells you little about whether the front desk has to keep another list.
For a growing group, compare that built-in capability with a dedicated reputation platform. The useful difference is operational: can the group see incomplete connections, assign a response to the correct clinic and export the same fields for every branch? If those jobs still live in separate spreadsheets, include that work in your cost comparison.
For a franchise or acquired-clinic group, make location access part of the evaluation. A regional manager should see the clinics they own, while a central lead can inspect unresolved work across the group. Ask each finalist to demonstrate those roles and the process for removing access when a manager leaves. Treat these as buying requirements to verify in the proposed package.
If your shortlist includes Birdeye, Podium or another broad platform, use our reputation-platform alternatives guide to frame the questions. Then run the same clinic workflow against each finalist. Package names and marketing claims are a starting point for a test, not its result.
Check the complete review history
Ask for an import from a verified clinic profile with enough reviews to require another page. Google's endpoint returns a next-page token while additional reviews remain. Save the imported review IDs and reconcile them with the reported location total, with documented reasons for any exceptions.
An illustrative clinic with 120 reviews would need at least three requests at the 50-review maximum. That is arithmetic from Google's limit, not a clinic benchmark. A dashboard showing 50 rows could still be showing a complete recent view; ask whether its history export includes the remaining reviews before calling the integration complete.

Next, ask how the connection stays current. Google's notification documentation describes Pub/Sub notifications for new and updated reviews. Have the vendor explain its actual refresh method, show the last successful connection time and identify who handles a connection failure. The existence of an API does not prove that a vendor uses it.
Test a neutral review request
Preview the request after both a satisfied and an unhappy test response. Both customers should have the same opportunity to leave a public review. Keep the request optional, with no discount or treatment perk attached, and do not ask the customer to include a provider's name. Google's policy also prohibits pressure to review while the customer is on the premises.
Run this check in the vendor's demonstration environment. A private feedback option must not become a filter that sends only satisfied customers to Google.

Make reply approval visible
Google's reply endpoint can create a reply or update an existing one for a verified location. Your software should make the difference between a suggested draft and a public reply easy to see.
Use a fictional review in a vendor demonstration. Ask a clinic manager to draft a response, have the designated approver review it and inspect the record of the action. For an authorized real reply, verify the visible result on the correct Google profile. Do not let a live demonstration publish a reply without your approval.
For a med spa, keep the public response focused on the customer's stated concern and a contact route. Avoid adding appointment, treatment or account details. Ask whether templates can be edited, whether automatic posting can be controlled and whether the approver can see the clinic before accepting a draft. Have your own privacy owner review the proposed workflow.
Our negative-review response guide helps with the writing job. The software evaluation is about the controls around that writing: who can act, what becomes public and what the clinic can read back afterward.
Proposed reply workflow
Make approval visible before publishing
Suggested reply
Confirm the clinic and review. Keep the reply private while it is being written.
Clinic approval
The authorized approver checks the wording and any personal details before publication.
Public response
After an authorized publication, open the correct profile and verify the saved reply.

Compare the work and the full quote
Give every finalist the same written scope: the clinic list, appointment system, required review sources, approval roles and export fields. Ask which items are included in the proposed package and which require extra setup or a separate subscription. A lower headline price is difficult to judge when the included work differs.
Save a sample location export during the demonstration. Can you identify the profile, the last successful connection, the unresolved replies and the person responsible? A brand-wide average cannot answer which clinic needs help today. Keep the location-level record alongside the quote so the team can judge the same deliverable.
If you want help operating the local visibility work as well as measuring it, include Cheers in the conversation. I co-founded Cheers, so that is a disclosed option. Agree on the work we would handle, the work your clinic team keeps and the evidence you will receive before making a decision. You can also check your current AI visibility as a separate baseline; that result does not establish which review platform is best.
Run one clinic workflow this week
Choose a representative clinic and send the same test brief to your finalists. Use test contacts for appointment triggers and demonstration data for reply approvals. Keep any real profile change subject to your existing approval process.
By the end of the evaluation, retain a complete-history export, the connection-status record, the role demonstration, the reply approval record and the full quote. Mark an item unknown when the vendor cannot show it. Choose the option whose demonstrated workflow fits your team and whose unresolved items you understand before rollout.
Method
This is a buyer test plan based on Google's published review API documentation and clinic operating requirements. The 120-review example is illustrative arithmetic. It is not a measured med-spa result or a product score. Compare current packages directly with the vendors before purchase.
